What does the ‘Send to Hub’ button do?
This emails a copy of your description to the Archives Hub team. The description will still remain in your file store so that you can edit it.
When will my description go live?
We aim to make descriptions live within 5 working days. It may be longer if there are issues that we need to deal with, but we are likely to be in touch with you if that is the case.
There are odd characters showing up in my text
Word processing software adds extra, hidden information to some characters (such as apostrophes). Copying these into the EAD Editor can cause problems. They will increase the size of your file (causing the Editor to run more slowly), and may display incorrectly. We recommend that you save text in something like Word as a plain text file and then copy and paste from the text file. You can create plain text files by choosing 'save as -> type -> plain text' in your word processing software, or by using a plain text editor such as Notepad (PC) or TextEdit (Mac). You will need to select UTF-8 as your character encoding.
I’d like to start creating descriptions but I don't want to submit anything at the moment
It is fine to request a login for the Editor and submit descriptions when you are ready. You can submit just one description or a whole batch of descriptions at any time.
Should I wait until I can create a detailed description before sending it to the Hub?
This is up to you, but we would recommend sending us a brief description initially and then, when you are ready, sending the detailed description, which will replace the older version. That way, your archive collection starts to get profile immediately.
I have a red box in my description, what does this mean?
A red box indicates invalid content. You should get a prompt to tell you what is wrong. It is often that a mandatory field is omitted. For example, a date at the top level of a description.
Do I have to use the Editor to contribute to the Archives Hub?
To contribute to the Archives Hub you need to provide us with valid EAD files. The EAD Editor provides a way to do this, but you may instead choose to export to us directly from systems such as Calm, AdLib and AtoM. Ingesting these exported descriptions is by nature a continuing work in progress, due to the varied data that we get, so it may take time to set up the required processing of the data. Can I upload any EAD descriptions I have into the Editor?
You can upload EAD, but you need to be aware of the caveats to EAD upload.
