The Archives Portal Europe
The Archives Portal Europe, commonly known as APE, is an EU funded portal to bring together descriptions of archives from across Europe. Each country that joins APE has a Country Manager, who has the job of supporting the contributing institutions.

The Archives Hub and APE
The Archives Hub performs the role of Country Manager for the UK. The way that archives contribute to APE is slightly different for the UK to most other countries. As institutions have already contributed to the Hub, it makes sense to then utilise those records. Therefore, the Hub contributes data on behalf of institutions.
Any institution contributing to the Hub can choose to upload and submit their own descriptions to APE, but then they need to ensure the data is valid for APE, and this may mean modifying the EAD, or talking to APE about their data processing methods.
How to ensure your data is on APE
Every Hub contributor can be part of APE. All you need to do is to create your own directory entry for APE. You can see these entries if you go to the APE website and choose 'Directory' and then select any individual repository.
You need a login to access your APE interface. If you do not have one, please email us and we will set you up. You will then receive an automated email like the one shown here. Once you have created and saved this directory entry, the Archives Hub will be able to add your data. If you do not already have a login to the APE dashboard, then please let the Hub team know, and we will create a login for you.

The APE Directory entry
To create a directory entry for your repository, you need to fill out a form that asks for information such as your location, contact details, facilities, hisotry, extent and date of holdings.
Only a small number of the fields are mandatory, but a fuller description will be helpful to remote users interested in accessing your collections.
The directory entry is held in Encoded Archival Guide (EAG). This is an XML encoding standard for ISDIAH (International Standard for Describing Institutions with Archival Holdings).
Updates to APE
At present, we do not have an automated method of updating your data on APE. We will be carrying out periodic updates for any institution that has contributed to the Hub in the last quarter. We plan to move to using OAI-PMH (see below) but we will only do this when we are happy that the data from an institution is likely to be free of validation issues.
Use of OAI-PMH
An alternative method of submitting data is through the use of an OAI-PMH target, which is a way to harvest data automatically. If you would like your data to be harvested directly by APE you may be able to arrange this, but this would mean you would need to deal with any issues with the data.
